privacy policy

kade (kadebooks.com, "we") is bookkeeping software for self-employed people and small business owners. You upload bank or card statements; we sort the transactions and prepare tax-ready reports. This policy explains, in plain English, what we collect, what we do with it, and what we don't do.

what we collect

Account information: your email address, a hashed version of your password (we never store it in plain text), and any business name or profession you choose to enter.

Your statements and transactions: the bank or card statements you upload and the transactions we read from them (dates, descriptions, amounts), plus the categories and notes you assign. We never ask for, and never have, your online banking login.

Billing information: payments are handled by Stripe. We receive confirmation that you paid and what plan you bought; we never see or store your card number.

Problem reports: if you use "report a problem," we keep what you wrote, the page you were on, and your email if you provided it.

Basic technical data: a session cookie to keep you signed in, and standard server logs (IP address, browser type, request times) used for security and to keep the service running.

Analytics: we use Google Analytics to understand how people find and use kade — which pages are visited, and where people get stuck between signing up, uploading, and paying. It sets analytics cookies and collects standard usage data such as pages viewed, approximate location, and device type. It never receives the contents of your statements, your transactions, or your financial figures. We do not use advertising cookies and we do not sell or share analytics data for marketing.

how we use it

Only to provide and improve kade: reading and categorizing your transactions, generating your reports, keeping you signed in, processing your payments, answering your problem reports, and protecting the service from abuse. We do not sell your data, and we do not share it with anyone for marketing.

ai reading of hard-to-read statements

Most statements are read by our own software. When a statement can't be read reliably that way — typically a scanned or image-based PDF — kade may send images of the statement pages to our AI provider, Anthropic, solely to extract the transactions on them. This happens automatically as part of processing your upload. Anthropic processes the data under its commercial API terms and does not use API data to train its models. kade decides tax categories with its own rules, not with AI.

who else touches your data

We use a small number of providers to run kade, each only for the purpose described: Render (hosting and database), Cloudflare (domain, network security, encrypted database backups, and routing of email sent to us), Stripe (payments), Anthropic (AI reading, as described above), Google (website analytics, as described above), and an email delivery provider (verification, password-reset, and receipt emails). These providers may store data in the United States. We do not share your data with anyone else except if required by law.

security

All data is encrypted in transit (HTTPS). Passwords are hashed. The database is continuously backed up to encrypted storage so your books aren't lost if a server fails. No system is perfectly secure, but we take reasonable measures appropriate to financial records and limit access to what's needed to run the service.

how long we keep it

We keep your data while your account is active. You can delete any statement (and all its transactions) yourself at any time from your dashboard. You can delete your entire account by emailing us. Deleted data is removed from the live database immediately and rolls out of backups within about 30 days.

your choices and rights

You can view, export (PDF or spreadsheet), correct, and delete your data at any time. You can close your account whenever you like. If you live somewhere with specific privacy rights (for example, California), you can exercise them by emailing us and we will respond within the time the law requires.

children

kade is for business use by adults. It is not directed at anyone under 18, and we do not knowingly collect information from children.

changes

If we change this policy in a meaningful way, we'll update the date above and, for significant changes, let you know by email or in the app.
